Collection point settings

When creating a new collection point or editing an already created collection point, you will be required to update the settings for the distribution method so that the correct information is shown to the customers when ordering from a collection point. The fields you can complete are as follows:

Name - The name of the collection point - this shows to the customer when selecting the distribution method. Delivery round - Select the delivery round which the collection point will be attached to. Orders attached to this collection point will process alongside home deliveries on the delivery round. Cost - The cost set here overrides the delivery charge cost set on the delivery round. You can for example set this to Β£0.00 if you want to offer free collection.

Capacity - You can set a capacity number against a collection point to help you manage your workload between distribution methods. It’s important to note that once you have set the collection point capacity, the system will not stop any new orders coming onto that collection point.

You can monitor the capacity within live baskets. This page details your collection points and then the associated capacity and number of orders currently due for that collection point for a particular week.

If capacity is reached you can edit the collection point information, turning off β€˜allow new customers’ and then reassigning customers to a different collection point if required.

Opening times - You can enter times into this field to let your customers know when they will be able to collect their order.

The information for this field shown to the customer is taken from either the delivery day of the delivery round (in settings) or opening times field. If the opening times field is empty it will default to the delivery day and say β€˜Collection on Friday’ for example. If the opening times field is completed this will show in the text beneath the address. This is a free text field so if you want to show the collection day and time make sure this is included in this field as shown below.

Instructions - Here you can enter any collection instructions such as where to find the order to be collected.

Entry code - Enter any access codes needed for the collection point for building entry or padlock codes. Allow new customers toggle - This can be toggled off to stop any new customers from ordering for the collection point. This hides the collection point from the storefront website.

Collection points and system emails

The order confirmation email that comes from the system will include the collection point information including collection address, opening times, entry codes and instructions making it clear what the customer has to do when collecting their order.

Collection points and delivery planning

Collection points sit within delivery rounds in fulfilment, this means that a collection point has it’s own address and can be planned as a drop similar to an individual customer. In the example below you can see how the collection point is displayed within the delivery round with the collection customers within it. This can then be planned within the route the same as any home deliveries.

Collection point fulfilment

You can access fulfilment information from the collections fulfilment page. This includes collection point checklists and a collection point overview.

Collection point checklists

Under β€˜collection points’ in the collections fulfilment page you can find a list of the collection points and a β€˜checklist’. The checklists are for printing and to be provided to the collection point for any record keeping required. When an order has been collected the list can be ticked as appropriate.

Collection point overview

In the β€˜collection overview’ the products are listed alongside the collection points with totals for each product. This can be exported if required.

Collection points and Labels

When packing orders for collection points, depending on your packing process you may want to print labels. The collection point address will be shown on the label for every customer that is on the collection point. The collection point name is not shown by default on the label. If you want the collection point name to show within the address you can add it as part of the address when creating the collection point as a distribution method.
