How to balance delivery rounds and move drops after the order has been processed

Moving customers between delivery rounds and methods

Reassign a customer to a different delivery round, collection point, or fulfilment method for a specific week.

🎯 When to use this: After orders have been produced for the week


Before you start

⚠️ These changes apply to this week's deliveries only. They are one-off adjustments and will not move the customer permanently. To move a customer permanently, edit their customer record instead.
 

You might want to reassign a customer for reasons such as:

  • Balancing delivery rounds when one is overloaded
  • Making a delivery route more efficient
  • Responding to a customer request (e.g. they're away, or want to collect this week)
 

This guide covers four scenarios — jump to the one you need:

  • Moving a customer to a different delivery round
  • Moving a customer to a different collection point
  • Converting a customer from delivery to collection
  • Converting a customer from collection to delivery

Moving to a different delivery round

 

Use this when a customer is already on a delivery round and needs to switch to a different round for this week.

 
  1. Go to Fulfilment → Delivery
  1. Select the delivery day and delivery round the customer is currently on
  1. Click on the customer drop you want to move
  1. In the Delivery round dropdown, select the round you want to move them to
  1. Navigate to the round they've been moved to
  1. Drag the customer from the Unassigned deliveries section into the correct position on the round
💡 Why the drag-and-drop step? Moved customers land in "Unassigned deliveries" first so you can decide where they fit best in the delivery sequence, rather than being auto-placed in the round.

Moving to a different collection point

 

Use this when a customer already collects, but needs to switch to a different collection point for this week.

 
  1. Go to Fulfilment → Delivery
  1. Select the delivery day and the current collection point
  1. Click on the collection point drop the customer is assigned to
  1. Click the down arrow next to the customer
  1. Select the new collection point from the dropdown

Converting from delivery to collection

 

Use this when a customer normally has home delivery but needs to collect this week.

 
  1. Go to Fulfilment → Delivery
  1. Select the delivery day and delivery round the customer is currently on
  1. Click on the customer drop you want to move
  1. Click the Convert to collection button on the right
  1. Select the collection point from the dropdown
  1. Click Confirm

Converting from collection to delivery

 

Use this when a customer normally collects but needs home delivery this week.

 
  1. Go to Fulfilment → Delivery
  1. Select the delivery day and the collection point the customer is currently assigned to
  1. Click on the collection point drop
  1. Click the down arrow next to the customer
  1. Click the Convert to delivery button on the right
  1. Confirm the change — the customer will be assigned to a delivery round based on their postcode
  1. Navigate to the round they've been moved to
  1. Drag them from Unassigned deliveries into the correct position on the round

⚠️ Postcode-based routing: The system uses the customer's saved postcode to pick a delivery round. If their postcode falls in an area you don't normally deliver to on that day, you may need to manually assign them to the closest available round. If their postcode does not exist on a delivery round then the customer won’t be assigned.

✅ You're done

 

Your changes take effect for this week's deliveries only. The customer's normal setup will resume next week.



Troubleshooting

 

I don't see a "Convert to collection" or "Convert to delivery" button.

Check that:

  • You've clicked directly on the customer's drop (not just the round itself)
  • You have collection points set up in your admin — you can't convert to collection if none exist
  • The order has been produced for the week

The customer got assigned to the wrong delivery round after converting.

When converting from collection to delivery, the platform uses the customer's saved postcode to pick a round. If it's assigned them to a round that doesn't make sense, you can:

  1. Manually drag them from Unassigned deliveries into a different round for this week, or
  1. Check that the customer's postcode is up-to-date in their customer record for future weeks

I want to make this change permanent, not just for this week.

Weekly changes in the Fulfilment area only affect that week. To move a customer permanently, edit their customer record.
